The Repeat feature lets you copy an appointment or task onto future dates on a set schedule. Handy for clients who come in at regular intervals, like weekly or fortnightly, so you don't have to book each visit by hand.
How to access it
On your Appointments page, click a client's appointment (or a task) to open its details window.
Repeat options
Click Repeat. You can choose Repeat Once to copy the appointment to a single new date, or Recurring for a run of visits on a schedule. For Recurring, pick how often under Repeats:
- Daily.
- Weekly.
- Fortnightly (2 Weeks).
- Every 3, 4, 5 or 6 Weeks.
- Monthly (same day next month).
Then under Repeats for, choose how far out to go: 2, 4, 6, 8, 10 or 12 weeks. This sets a time window, not a fixed number of visits, so the number of appointments you end up with depends on how often you picked. Fortnightly for 12 weeks makes 6 visits, weekly for 12 weeks makes 12.
Steps to repeat an appointment
- On the Appointments page, click the appointment to open its details.
- Click Repeat.
- Choose Recurring.
- Pick a frequency under Repeats.
- Pick how far out under Repeats for.
- Click Repeat to confirm.
A message tells you how many appointments were added and how many clashed with an existing booking. Clashed ones aren't placed on the diary. They go to the Pending Bookings report so you can sort them out.
Each repeated appointment is saved as its own booking, so you can change one without changing the rest.
Repeating a task
The process is the same. Click the task on the Appointments page to open its details, then follow the same steps above.
