Your Simple Salon account can use Stripe Invoicing to take deposit payments from clients. It emails them a unique link to a Stripe-hosted invoice page that works on mobile, tablet and desktop.
The steps below assume Stripe is already connected for POS payments. If it isn't, see linking your Stripe account for POS payments first.
Jump to a section:
- Enabling the Stripe Invoice setting.
- How to take a deposit using Stripe Invoice.
- What happens when a Stripe Invoice is unpaid?
- What happens on the client's end?
- How to use the deposit in POS.
- Refunding a Stripe Invoice payment.
- Customising the invoice.
Enabling the Stripe Invoice setting
- Go to your Account page (click your profile icon at the bottom left of the main menu).
- Open the Actions menu and select Stripe.
- In Stripe Gateway settings, turn on both Stripe Gateway Enabled and Enable Invoice Mode, then Save.
How to take a deposit using Stripe Invoice
- Make sure Deposits are enabled for POS.
- Create a new appointment and turn on Take Deposit as usual.
- Click Confirm & Pay to go to POS.
- Click Receive Payment.
- Select the Stripe Invoice payment tile and click Finish Sale.
The tile is called SG Stripe Gateway (Invoice). The sale must have a named client on it. Stripe Invoice won't work for Walk-In.
Once selected, POS connects to Stripe and confirms the client has been emailed a payment link.
What happens when a Stripe Invoice is unpaid?
This depends on the Force Deposits for Appointment Bookings setting.
Force Deposits enabled
The appointment's Visit Details shows an expiry counter. If the deposit isn't paid within 30 minutes, the appointment is automatically deleted. While unpaid, you can click Pay Deposit to charge another payment method instead, or send a new Stripe Invoice link.
Force Deposits disabled
There's no expiry counter. The appointment stays as OPEN: Deposit Unpaid and the transaction stays incomplete in the Transaction List. This lasts until it's paid, a new link is sent, or another payment method is used. You can also delete the deposit transaction, which leaves a normal open appointment with no deposit attached.
What happens on the client's end?
The client gets an email with the invoice link, opens it, chooses a payment method, enters their details and pays. Once paid, they can download the invoice, and the appointment's status updates to OWING: Deposit Paid.
How to use the deposit in POS
When the client comes in, add them to the sale as usual. Their paid deposit is already subtracted from the total, leaving an Amount Owing that can be paid with a normal payment method. See How to Use a Client's Deposit in POS for the detailed walkthrough.
Refunding a Stripe Invoice payment
This works the same as refunding any other deposit. See How to Refund a Deposit for the steps.
Customising the invoice sent to clients
Stripe lets you customise the icon, logo, brand colour and accent colour used on invoices and receipts. Change these from your Stripe dashboard's Branding settings: dashboard.stripe.com/settings/branding. See Stripe's own invoice customisation guide for details.
