The Appointments Report gives you insight into all appointment activity in your account. It covers past and future appointments, including ones made through Online Bookings.
You'll get useful appointment information that you can sort using several filters, and you can SMS or email clients directly from the report.

Viewing past or future appointments
- Go to Reporting, then Report List, and select Appointments Report.
- Enter the date range you want. For past appointments, set how far back you want to go in From and leave To as today. For future appointments, leave From as today and set how far ahead you want in To.
- Click Go to load the report.
Filtering by operator, including the Wait List column
Use the Operator drop-down to narrow your search to one operator, then click Go. This is also where you'll see your Wait List clients for the date range you've chosen. If you've renamed your Wait List column, that name shows here too, see How Does the Wait List Work?
Filtering by appointment flags
Click Select next to Flags, choose the flags you want (for example Confirmed, No Show, Arrived, First Visit), then click Filter. You can filter for clients who have a flag, or who don't, for example Not Confirmed shows everyone who hasn't confirmed yet. You can combine flags too, for example No Show plus Confirmed shows clients who confirmed but still didn't show up. Flags can be combined with the Operator, Booking Type or Status filters.
Filtering by booking type
The Booking Type filter shows you where an appointment was made: the Appointments page, POS or Online Bookings. Select the type from the drop-down and click Go.
What do the symbols mean?
These symbols in the report show where a booking was made: Appointments Page, Online Bookings, POS and Slick.
Filtering by status
The Status filter shows appointments that are Paid (processed through POS or paid in full online) or Open (not yet processed through POS). Use Open to find past appointments that were missed and still need processing.
SMS and email clients with past or future appointments
Set your date range (and optionally filter by Operator or Booking Type), click Go, then click Send SMS or Send Email to message the whole list. If a client has more than one appointment in the list, they only count once and only get one message.
Once you click Send on an SMS or email, it can't be undone. Use the character counter and the preview function to check your message before sending. For SMS costs, see How Many Characters Can I Have in an SMS?
Viewing roster items or tasks
Tick Roster, set your date range and optionally an operator, then click Go to see roster items. Tick Tasks instead to see tasks added to the Appointments page.
Exporting as CSV, printing or downloading a PDF
Click Export as CSV to get extra detail beyond the on-screen report. It includes operator name, service date, start and end time, duration and client name. It also adds email, contact number, price, status and appointment comments.
Click Print to print the report, or to save it as a PDF (look for Save as PDF under Destination in the print window).
Print Select Client Cards lets you print or save client cards for a chosen set of clients, useful if you like a physical copy including their past appointment notes. Tick the clients you want, click Print Selected Client Cards, then click Print in the window that opens. You can save as PDF or send to a printer from there.
