Booking an appointment is quick once you know the steps. Click an empty slot, find or add the client, pick the services, and confirm. Here is how it works.
1. Open your appointment book
Head to your Appointments page from the sidebar. Find the operator and the time the client wants and click any empty slot in that operator's column.
What to look for: a green dashed placeholder appears in the slot you clicked. It shows the start time, a + icon, and an "Add Booking" tooltip. Click the placeholder again (or the + icon) to open the Add New Appointment dialog.
2. Confirm the date, time and operator, then find the client
The Add New Appointment dialog opens. The date, start time and operator are already set from the slot you clicked. Adjust any of these if you need to, then use Search Client to find who you're booking. Start typing a name and matching clients drop down underneath.
New client? No problem. If the client isn't in your list yet, choose the highlighted + Add "[Name]" option at the top of the dropdown. That creates them on the spot. You can capture their full details later. Simple Salon only needs a name to get the appointment in the diary.
Booking a mum and her daughter at the same time? Use Add Multi-Client instead of Search Client to stack their services in one block. Need to block out time for a stocktake or a staff meeting? Hit Add Task, same diary, no client required.
3. Choose the services and confirm
After you select the client, the Select Services screen takes over the page. Click any service tile to add it to the appointment. The panel on the right keeps a running tally of duration and price.
Use the categories on the left to narrow the list, or the search bar to jump to a specific service. Returning client? Try Past Services to repeat what they had last time.
Before you confirm, you can also:
- Flag As: flag the appointment (Arrived, First Visit, No Show, Requested, Confirmed, VIP) so it stands out on the diary.
- Comments: add a visit note for the operator to see.
- Take Deposit: tick this to capture a deposit straight away, handy for new clients or longer services.
- Send E-mail / SMS to client: tick this to fire off an immediate confirmation. This is separate from your automatic Appointment Reminders.
When everything looks right, hit Confirm. The appointment lands on the diary straight away. It shows up in the operator's column at the time you chose, with the client name and service.
4. Adjusting the appointment afterwards
Your diary is easy to adjust:
- Drag the appointment to move it to a different time or operator*.
- Drag the bottom edge to lengthen or shorten the booking*.
Click the appointment to open Visit Details. From there you can flag it, leave a visit note, re-schedule, copy, repeat, delete, or add another service.
*On mobile and tablet, tap and hold the appointment to enable dragging.
What's next?
Now that you can book an appointment, the next step is the till. Read How to Process Sales Through POS to take the appointment from the diary to a paid sale. For everything about the client themselves, see How to Find and Use the Client Card.
