If you have clients who haven't come in for a while, you don't have to delete them. Use a Client Category to mark them as inactive instead, so you keep their history but can still see who to follow up with.
If you'd genuinely like to remove a client instead, see Deleting and Undeleting a Client for one client at a time, or the bulk delete article for a whole list.
Creating an Inactive Clients category
- Go to Admin, then the Lists tab.
- Use the Select List drop-down to pick Client Categories.
- Click New.
- Give it a name like "Inactive Clients" and click Save.
Note: leave Add to New Clients unticked, this category is for clients you assign manually, not everyone who signs up.
Assigning clients to the category
- Search for the client and open their Client Card.
- Click the three-dot Actions menu, then click Categories.
- Tick Inactive Clients (and any other categories that apply) then click Save.
Turning off SMS and email for inactive clients
While you're in their profile, it's worth turning off reminders and promotions so you're not messaging someone who isn't coming in.
- Click the pencil next to Edit Profile on their Client Card.
- Under Promotions & Reminders, switch off SMS and Email for both Appointment Reminders and Promotions.
- Click Save.
Bringing up a list of inactive clients
- Go to Marketing and click All Clients.
- Use the Category filter to show only clients in your Inactive Clients category.
From there you can print or export the list, or message them if you ever need to (you'll need to switch reminders or promotions back on for that client first).
