Appointment flags make sure you never miss a detail. They alert you to things about a client's appointment that could otherwise slip past, right there on the diary.
You can see if a client has Arrived, is a No Show, has Confirmed, has Requested that operator, if it's their First Visit, or if they're a VIP. There's also an automatic Notes flag for any appointment with a comment on it.
The N flag
The N flag stands for Notes. It appears on any appointment that has a comment written against it, so you never miss reading one. See Tracking Client Appointment Comment History for how comments work.
Flagging while you're booking
- Go to your Appointments page and click an empty slot to start a new booking, then add the client and their service. This opens the Select Services screen.
- Open the Flag As section for that client. You'll see six tick boxes: Arrived, First Visit, No Show, Requested, Confirmed and VIP.
- Tick as many as apply. Each one turns green with a check mark once it's on.
- Hit Confirm to save the booking with those flags already set.
Flagging an appointment that's already booked
- Click the appointment tile on the diary. This opens the Visit Details pop-up.
- On the Details tab, find the Visit Flags section: the same six pill buttons, Arrived, First Visit, No Show, Requested, Confirmed and VIP.
- Click a pill to turn it on or off. It saves straight away, there's no separate Save step here.
A small letter for each flag you set appears on the appointment tile on the diary. The whole team can see it without opening the appointment.
You can come back and change these flags at any time, they're not locked in.
Note: flagging a client as No Show can prompt you to free up the time slot. Keeping the appointment leaves it on the diary; freeing the slot removes it from the Appointments page.
You can still find a freed-up appointment later. Check your Appointments Report, or the Bookings tab on the client's Client Card. If you free up a slot by mistake, the best fix is to re-create the appointment, then delete the original No Show one.
Notes:
- Use Requested when a client asks for a particular operator and doesn't want to be seen by anyone else.
- The first time you use Simple Salon, every client shows as a First Visit client on their first appointment, and the F flag appears automatically. You can untick it, or just expect this the first time you start using the system.
