Refunding Deposits
Refunding a sale with a deposit
- Go to the Transactions tab (via POS) and find the original sale.
- Click it to open Transaction Details.
- Click Refund Transaction. The original items and payment lines appear on a Receive Payment style refund screen, including the deposit as its own line.
- Click Finish Refund.
Simple Salon automatically creates a separate refund entry for the deposit, giving that amount back the same way it was originally taken.
Refunding the deposit only (before it's used)
- Open the client's Client Card.
- Click the Deposit Taken tile near the top ("Pre-paid deposit on file. Tap to apply or refund.").
- This opens an All Transactions list filtered to Outstanding Deposit. Find the deposit and click its row actions to open the invoice preview.
- Click Refund on the invoice preview. This takes you to a refund screen showing just the deposit as a line item, with the original payment method pre-selected.
- Click Finish Refund.
Refunding a kept deposit
Cancelling an open appointment with a deposit paid offers Keep for Future Use as an alternative to refunding straight away. See Cancelling an open appointment with a deposit paid in How to Setup Deposits for POS. Choosing it deletes the booking and leaves the deposit on the client's file as an ordinary outstanding deposit.
There's no separate "retained" or "forfeited" status. A deposit kept this way stays fully refundable. Refund it using the same steps as any other unused deposit above. Open the Deposit Taken tile on the Client Card, find it in the list, then click Refund on its invoice preview.
