Getting to the Online Booking Admin Tab
Click Online in the top menu, then click the Admin tab.
You'll see three tabs: Dashboard, Setup, and Admin. There's also a green View Bookings Site button in the top right corner, which opens your live online booking page.
The Admin tab contains all your online booking configuration, organised into collapsible sections. The General Settings section is expanded by default.
General Settings
1. Booking Payment Method
Choose how clients pay when making an online booking:
- Pay In Person - No online payment required, the client pays at the salon.
- Pay Full Amount - The full service cost is charged at the time of booking.
- Require Deposit - A percentage of the total is charged upfront. You can set the deposit percentage.
2. Payment Settings
Tick the Pass On Payment Processing Charges checkbox if you'd like to add payment processing fees to the client's total rather than absorbing them yourself.
3. Voucher Payment Method
For online voucher purchases, the available option is:
- Pay Full Amount - The client pays the full voucher value at purchase.
4. Reserve with Google Settings
Tick the Enable Reserve with Google checkbox to allow clients to book directly from your Google Business listing. Click Save to apply.
5. Setup Payment Method
This section shows your connected payment provider (e.g. Stripe) along with the account it's connected to. Use the Login link to access your payment provider's dashboard, and click Save to update.
6. Booking Site URL & Code
Here you'll find everything you need to share or embed your booking page:
- Online Booking URL - Your unique booking page link. Click Copy URL to copy it to your clipboard. Share this on social media, in emails, or anywhere you like.
- Embed Code - An iframe snippet you can paste into your website's HTML. Click Copy Embed Code to grab it.
7. Booking Site Script
The Online Booking Custom Script textarea lets you add custom JavaScript to your booking page.
Warning: This is an advanced function - changing this setting can cause errors on your Online Bookings page. Only use this if you know what you're doing, or if our support team has provided you with a script. Click Save to apply.
8. Booking Terms
Enter the URLs for your legal pages:
- Online Booking Terms and Conditions URL
- Online Booking Privacy Policy URL
Click Save to update. These links will appear on your booking page for clients to review.
9. Service Settings
- Service Price Auto Mark-Up % - Automatically increase service prices on your online booking page by a percentage.
- Default Service Sort Order - Choose how services are listed (default is Name A-Z).
Click Save to apply your changes.
10. Booking Settings
- Enable Auto Approval - Automatically approve incoming bookings without manual review.
- Enable Booking Gap Minimiser - Reduces gaps between appointments by suggesting optimal time slots.
- Minimum Cancellation Period - Set how much notice clients must give to cancel (default is 24 hours).
Click Save to apply your changes.
Style Settings
Click to expand this section. Here you can customise the look and feel of your online booking page, including colours, logos, and branding.
Notification Settings
Click to expand this section. Configure the email and SMS notifications that are sent to you and your clients when bookings are made, changed, or cancelled.
Tips
- If you're unsure about requiring online payment, start with Pay In Person and switch to deposits once you're comfortable.
- Copy your Online Booking URL and add it to your Instagram bio, Facebook page, and email signature for maximum visibility.
- Turn on Auto Approval if you trust your availability is accurate - it saves you from manually approving every booking.
- Set your Minimum Cancellation Period to at least 24 hours to protect against last-minute no-shows.
